Junior membership data - Until age 21

Accident/injury forms - 3–6 years depending on age
WhatsApp groups - Reset annually

DBS checks - Renewal date only

At the end of retention, data is securely deleted or destroyed.

Coaches & Team Managers

By joining or participating in Daman Iconz Cricket Club activities, members agree to adhere to this Data Protection Policy as part of their membership conditions.

Terms and Conditions

These Terms & Conditions (“T&Cs”) apply to all members, players, parents, volunteers, coaches, and visitors of Daman Iconz Cricket Club, Leicester (“the Club”).
By joining or participating in any club activity, you agree to abide by these T&Cs.

1. Membership & Registration

  • All members must complete a yearly registration form and agree to club policies.
  • Membership fees must be paid in full before participating in league matches or training.
  • Membership is non-refundable except in exceptional circumstances approved by the Committee.
  • The club reserves the right to refuse or cancel membership if behaviour violates club rules.

2. Player Responsibilities

Players must:

  • Follow the Club’s Code of Conduct.
  • Arrive on time for matches and training.
  • Notify captains/managers early if unavailable.
  • Wear correct kit and protective equipment.
  • Respect umpires, officials, teammates, and opponents.
  • Failure to comply may result in fines, suspension, or removal from teams.

3. Parent/Guardian Responsibilities (Junior Players)

Parents agree to:

  • Ensure children arrive and leave safely.
  • Inform coaches of medical conditions or special needs.
  • Support positive behaviour and avoid sideline coaching.
  • Give consent for emergency medical treatment if required.
  • Understand that photographs/videos may be taken for club promotion unless they opt out.

4. Fees, Payments & Refunds

  • Membership, match fees, indoor nets, kit fees, and event payments must be paid on time.
  • No player will be selected for matches if fees are overdue.
  • Refunds are made only in rare cases and at Committee discretion.
  • The Club is run voluntarily and all income goes toward running costs, equipment, and development.

5. Selection & Playing Time

  • All selections are made by captains and team managers based on:
  • Attendance
  • Fitness and form
  • Team balance
  • Discipline
  • Commitment to training
  • Selection is not guaranteed for any member.

6. Safety & Equipment

  • Players must wear helmets when batting or wicket keeping.
  • The club is not responsible for loss or damage to personal equipment.
  • Dangerous play or misuse of equipment will result in disciplinary action.
  • Players must report injuries to captains or coaches immediately.

7. Behaviour & Discipline

The following are strictly prohibited:

  • Abuse or disrespect toward teammates, officials, or opponents
  • Bullying or harassment
  • Racism, discrimination, or exclusion
  • Violent behaviour
  • Any form of corruption, betting, or match manipulation
  • Damage to club property
  • Breaches may lead to suspension or termination of membership.

8. Safeguarding & Welfare

The Club follows ECB Safeguarding Standards.

  • All adults working with children must have valid DBS checks.
  • Children must never be left unsupervised at club activities.
  • Any safeguarding concern must be reported to the Safeguarding Officer immediately.

9. Photography & Media Consent

The club may use photographs or video clips for promotional purposes (website, social media, posters).

  • Parents or players can request to opt out in writing.
  • No harmful or inappropriate images will ever be used.

10. Cancellation of Training or Matches

The club may cancel sessions due to weather, safety concerns, or ground unavailability.

  • Members will be notified via WhatsApp or email.
  • Refunds for cancelled training sessions are not guaranteed.

11. Use of WhatsApp & Social Media

Members must:

  • Keep messages respectful and club-related.
  • Not share offensive, political, or inappropriate content.
  • Avoid arguments, bullying, or personal attacks.
  • Refrain from sharing confidential club matters publicly.
  • Admins may remove members who misuse communication channels.

12. Data Protection (GDPR)

The Club will:

  • Store personal data securely.
  • Only use data for club operations and league requirements.
  • Never sell or misuse member information.
  • Remove or update your data upon request.

13. Liability & Insurance

  • The Club holds public liability insurance as required by the league.
  • Members participate at their own risk and must assess their own fitness.
  • The Club is not responsible for injuries resulting from normal sporting activity.

14. Junior Transport Policy

The Club does not provide transport for juniors.

  • Parents are responsible for drop-off and collection.
  • Team managers may help coordinate lifts but take no liability.

15. Termination of Membership

The Club may terminate membership if:

  • Fees remain unpaid
  • There is serious misconduct
  • Safeguarding concerns arise
  • A member breaches these Terms & Conditions
  • No refund will be given in cases of disciplinary removal.
